How to Get an Accurate Earthworks Quote

An earthworks quote is only as reliable as the scope behind it. Two prices can look very different because one includes cartage, disposal, aggregate and compaction while the other covers machine time alone.

Describe the finished outcome

“Dig out the back” leaves too much open to interpretation. A useful request explains what is being built, the required levels and what the site should look like when the earthworks contractor leaves.

For a new build, provide the survey, site plan, geotechnical report, foundation details, drainage plan and consent conditions. For a smaller repair or one-off job, measurements, marked-up photos and a simple sketch can still make the first conversation far more productive.

Information that changes the price

• Cut and fill: approximate areas, depths and finished levels
• Ground: known fill, rock, soft soil, contamination risk or groundwater
• Access: gate width, slope, overhead lines, truck turning and shared driveways
• Material: what can stay, what must leave and where stockpiles can go
• Imports: aggregate type, quantities and delivery access
• Services: known underground and overhead utilities
• Testing: survey, density testing, inspections and engineer sign-off
• Timing: programme, work hours and coordination with other trades

Ask what is included

A clear quote should say whether it includes:

• Machine and operator
• Labour and small equipment
• Truck cartage and disposal fees
• Imported fill or aggregate
• Compaction plant and water
• Erosion and sediment controls
• Service locating, survey or testing
• Traffic management or road cleaning
• GST

It should also identify assumptions and exclusions. Unknown ground is a normal risk in excavation, but the quote can state how additional unsuitable material, buried concrete or unexpected services will be handled.

Photos help, but a site visit still matters

Take wide photos showing access and the full work area, then closer photos of slopes, boundaries, drains, services and the tie-in levels. Include an object or measurement for scale. A site visit allows the contractor to confirm machinery access, loading position and practical sequence.

Compare scope, not just the bottom line

A lower number is not necessarily cheaper if important items are provisional or missing. Put quotes side by side and compare quantities, disposal, materials, testing and handover condition. Ask questions while changes are still easy to price.

Small jobs deserve clear information too

Repairs, trenching, drainage preparation, broken concrete removal and one-off excavation may not need a large drawing set. The address, dimensions, access photos, desired outcome and timing are usually enough to establish the next step.
